Privacy Policy

CogniSystems respects the privacy of registered mental health professionals, workshop participants, and website visitors. This policy describes how we collect, use, and safeguard personal information in accordance with applicable Canadian privacy legislation.

Regulatory Framework

We design our programs, portals, and digital systems with reference to the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, the Personal Health Information Protection Act (PHIPA) in Ontario.

CogniSystems provides professional development, practice systems, and educational resources for registered clinicians. We are not a health information custodian and do not collect client records or clinical charts through our public website or mastermind portals unless explicitly stated in a separate written agreement.

Information We Collect

We may collect contact details (name, email, professional designation), enrollment and payment confirmation metadata, community forum account information, and standard website analytics required to operate our services securely.

We do not require participants to submit Personal Health Information (PHI) or client-identifying details through checkout, curriculum downloads, or general support channels.

How We Use Information

Information is used to deliver enrolled programs, provide faculty support, process transactions, improve our educational materials, and communicate service updates relevant to your registration.

We do not sell personal information. We share data only with subprocessors necessary to operate payment, hosting, or communication infrastructure, under contractual privacy obligations consistent with Canadian standards.

Data Retention & Security

We retain enrollment and account records only as long as required for program delivery, billing reconciliation, and regulatory compliance, then securely delete or de-identify information where feasible.

We apply administrative, technical, and organizational safeguards—including access controls and encrypted transmission—to protect personal information against unauthorized access, disclosure, or misuse.

Your Rights

Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you. Ontario clinicians may have additional rights under PHIPA where CogniSystems acts as a service provider to a regulated practice under contract.
